minutes for Thursday, June 18, 2009, Stretch’s Pizza

Members present were Dan Olson, Don Snell, Floyd & Sharon Kindle, John Carnahan, Jim Sandsness, Greg Kirkwood, Jamie Ulrich, and Dennis Bebee. Guests were Dan Waters and Jackson Snell.

President Kirkwood called the meeting to order at 7 p.m.

John Carnahan moved to accept the May minutes as written with a second by Dennis Bebee with motion adopted.

Treasurer Sandsness gave his report.

Sharon Kindle moved to accept the treasurer’s report with a second by John Carnahan and motion adopted.                          

The outstanding bills were gone through and approved for payment with a motion by Dan Olson and second by Don Snell and motion adopted.

Old business:

John Carnahan spoke for the sign for the dragstrip and reported he had visited with the Mt Transportation Dept. and was assured the placement of the sign would be approved by the department. Carnahan will be present at Phillco, Thursday, 12 noon, June 25 (place to be announced) to explain the sign and personally ask for a waiver for a Test & Tune on July 17 from 5-8:30 p.m.

Malta Chamber gave PCMS the old Malta chamber sign east of town and it will be hauled to the track by Randy Shores . The sign will be taken apart and the wood used for the vinyl signs for each season.

Discussion on caps led to a decision on contacting The Clothing Co. in Harlem for a price since Eclectic by Design is behind on orders.

New business:

Our IHRA insurance is due by 7/2 in the amount of $369.93

The approval pending from Phillco for Fri July 17 Test & Tune from 5-8:30 was addressed by Carnahan along with the sign approval.

Carnahan stated 22 vehicles took part in the June 14 Test & Tune and considered it a good turn-out. It was fortunate the test & tune took place as the new concrete on the track began to break up. Discussions will take place with other cement contractors to determine the problem. Ready Mix didn’t know the reason as to the breaking up. Until this problem is solved and the track redone, it was deemed unsafe to have a race.

After much discussion, Don Snell moved with a second by Sharon Kindle, not to rent the port-a-potties as the units were not holding up to the constant moving, motion passed. Four units will be moved to the pavilion Friday as they were promised as the notice is too short to change the plans. The units will be attached to the concrete after this.

Sharon Kindle showed the members a sign stating: “Adult Supervision of Children Required” as we want to prevent future problems with vandalism especially to the toilets. We already state: “No one without a valid driver’s license may operate a motorized vehicle at the Hi-Line Dragstrip”.  It was decided the words would be painted on the ticket booths as well as “Everyone must sign a waiver statement upon entering the premises.” Further discussion led to contacting the Border Patrol to see if they would be willing to walk around the grounds (in uniform) during all race events.

Dan Olson inquired if the next Sat & Sun races would be the make up race for the rain-out and Carnahan answered in the affirmative.

Jamie Ulrich informed the group the All Class Reunion was advertising for servers for the evening meal July 11 at the City Hall. Minimum wage would be paid and she wondered if PCMS would be interested in earning money for this event. This led to more discussion from Carnahan saying he has been contacted about having a race that weekend as people “didn’t want to sit in the park all day”. PCMS did not plan a race for the weekend as it was felt there was enough going on and room accommodations could not be had. Carnahan agreed if the concrete issue could be corrected, a Test & Tune could be held.

Dan Olson has information he would like to share with the tech crew as to what he learned in Anaconda. He will get it to Denny Overcast, Don Snell and whoever else would benefit.

There being no further business to come before the board, Don Snell moved to adjourn the meeting with a second by Dennis Bebee and  motion passed.

The group went to the track to inspect the concrete.
